Your Responsibilities:

  • Team Leadership: Support, train, and supervise front office staff, including receptionists, security guards, and call center agents.
  • Customer Task Management: Ensure accurate handling of all customer-related tasks, addressing complaints, and attending to special requests promptly.
  • Staff Scheduling and HR Management: Schedule staff shifts and manage other HR-related tasks, fostering a positive and efficient work environment.
  • Appearance Maintenance: Maintain an orderly appearance throughout the reception area, ensuring a welcoming atmosphere for visitors.
  • Supply Management: Monitor stock levels and order office supplies, including stationery and information leaflets, to facilitate smooth operations.
  • Management Reports: Prepare monthly management reports on customer feedback, providing insights for continuous improvement.
  • Budget Management: Manage the departmental budget efficiently, optimizing resources for maximum effectiveness.
  • Records Updating: Update files and records regularly to ensure accuracy and accessibility.
  • Desk Tidiness: Ensure the front desk is tidy and equipped with all necessary stationery and materials.
  • Shift Handover: Receive information from the previous shift manager and pass on pertinent details to the oncoming manager for seamless operations.
  • Group Information Handling: Update group information, maintain, monitor, and prepare group requirements as needed.

Your Profile:

  • Proven experience as a Front Office Manager or in a similar role.
  • Strong leadership and team management skills.
  • Excellent customer service and problem-solving abilities.
  • HR management knowledge and scheduling expertise.
  • Organizational skills with attention to detail.
  • Budget management and reporting experience.
  • Proficiency in maintaining an orderly and welcoming reception area.
  • Effective communication and interpersonal skills.
  • Familiarity with office supplies management.
  • Ability to train, supervise, and support office staff.
